ACCOUNTABILITY: Executive Director

NATURE AND SCOPE: Under the direction of the Executive Director, the Administrative Assistant is the first point of contact for clients at Hospice Northwest Services. The Administrative Assistant supports clients by streamlining phone calls to the organization to ensure an excellent client experience. The Administrative Assistant may have to support clients by completing paperwork for program registration. The Administrative Assistant will support with financial work and budgeting, fundraising support, data entry, meeting minutes, and supporting Program Coordinators as directed.

Qualifications:
• Diploma in Human Resources, Record Keeping, Administration Management, Business or a related field
• Relevant educational and/or work experience
• Experience in administration and record keeping considered a strong asset

Responsibilities include:

Administration:
• Answers the phone for the organization
• Communication
• Data Entry and Statistical record keeping
• Staff meeting minutes

Accounting Support
• Invoicing
• Monthly visa reconciliation

Support to the Volunteer Department:
• Work with the Volunteer Coordinator to ensure all volunteer hours and statistics are entered at the beginning of each month
• Support as needed for the volunteer department as per direction of Volunteer Program Coordinator

Support to the Grief Department:
• Client check ins and client satisfaction
• Printing program materials
• Supporting clients to register for workshops
• Client program reminders
• Support as needed for the grief department as per direction of Grief Program Coordinator

Support to the Palliative Department:
• Client check ins and client satisfaction
• Client program reminders
• Support as needed for the palliative department as per direction of Palliative Program Coordinator

Board of Directors/Executive Director Support
• Take minutes of the meetings (monthly)
• Set agenda
• Send out board package
• Maintain the policy monitoring schedule
• Support to the Executive Director for monthly hospice meetings
• Support as needed to the Executive Director

Other:
• Special events assistance & support
• Other duties as required

Performance Review: A performance review will be held at 3 month probation period, and will include recommendations for training. The process will include an opportunity for the Administrative Assistant to request changes to the job description, remuneration or for training. Any adjustments to the salary or benefits will be made following this Review.

Communications/Code of Conduct: That client focused palliative care provision requires healthy working relationships among all staff and volunteers, is a fundamental operating principle of Hospice Northwest. All staff will be responsible for maintaining positive and mutually supportive relationships within a professional environment.

All staff and volunteers are responsible for exercising strict standards of confidentiality related to all client, volunteer and staff information.

Salary: $20/hr – Pay negotiable dependent on skills and qualifications
