This is a temporary position until March 31, 2028, Monday to Friday, 9:00am to 5:00pm with 35 hour work weeks. The hourly wage is $25.82, plus 4% vacation, plus 3% in lieu of benefits.
YES Employment Services is a non-profit, community-based organization with a long history providing employment services in Thunder Bay, Nipigon, Red Rock and surrounding areas. We work with individuals of all ages and diverse backgrounds to develop skills to achieve success in attaining their Employment goals. Summary: Under the supervision of the Program Supervisor, the Employment Coordinator reports on client’s activity, including case management, intake and assessment, counselling, provide assistance with quality employment opportunities, retention support and referral services for clients and employers. The incumbent must have the ability to work in a dynamic service delivery environment.
MAJOR TASKS WILL INCLUDE BUT NOT BE LIMITED TO THE FOLLOWING:
Client Services
- Conducts initial intake and assessment
- Work with clients to co-create and update action plans.
- Maintain regular and ongoing positive contact with clients (minimum bi-weekly contact).
- Assess client’s employability skills utilizing various assessment tools.
- Establish and maintain client file documentation as needed.
- Monitor active clients and their progress on a regular basis.
- Complete all paperwork and monitoring of clients on agency programs as per requirements.
- Provide ongoing employment counselling, case management and retention support to clients, throughout their employment journey and during follow up activities.
- Maintain timely follow-up calls according to program requirements.
- Maintain awareness of job market and labour market information and trends.
- Develop an employment action plan with clients for marketing their skills and abilities to prospective employers.
- Ensure optimum and unbiased client service is provided to every individual.
- Participates in case conferencing.
- Utilize client supports and incentives to assist clients in becoming job ready.
- Provide triage services for clients in the Resource and Information area to determine client needs.
Job Development
- Collaborate with Employer Relations Coordinators on Job vacancies and employer needs.
- Develop a thorough client profile and referral for Employer Relations Coordinators and assist with employment.
- Advocates on behalf of clients, provides support to employers for incentivised training and for clients on quality employment opportunities.
- Develop an employment action plan with clients for marketing their skills and abilities to prospective employers.
- Appropriately refer clients on behalf of employers, ensuring a good job match.
- Complete matrix, rationale and training incentive contracts based on client and employer needs.
- Complete monitors for clients on incentivised training.
- Ensure finance spreadsheet tracking is reviewed regularly (Minimum – biweekly)
- Ensure claims are picked up, reviewed and submitted to finance for reimbursement.
- Maintain regular and ongoing positive contact with clients on a 1/3/6/12 month basis.
Documentation
- Maintains detailed and accurate case notes for client -related activities (within 24 hours)
- Ensure privacy and confidentiality of all client information.
- Ensure that client consent and disclosure of information documentation is complete
- Documentation of client files according to program and agency standards following unit processes.
Marketing
- Markets YES programs and services to employers and clients
- Liaises with other agencies to promote networking.
- Represents YES at committees and external events.
- Provides information regarding other programs and services when appropriate.
Resource Area
- Welcome clients and direct them appropriately according to their purpose and needs.
- Register all clients and provide Resource Area orientation and tour as needed.
- Ensure Resource Area is functioning efficiently.
- Provide on demand intake and assessment services to clients.
- Maintain client facing area of the agency ensuring all feel welcomed.
Programming
- Thorough knowledge of program guidelines and unit processes
- Participate in strategic planning process.
- Participate in unit meetings and YES staff meetings.
- Must be an active member of the team, collaborating with other team members and units, operating using evidence-based practices, in the best interest of the agency and our clients.
- Ensure employers and clients are informed of YES Employment Services feedback and complaint process.
Other duties as assigned by the Leadership Team.
Qualifications:
- A post-secondary degree or diploma in Social Service or Human Services or a minimum of 10+ years in employment counselling managing a case load is required.
- A professional and courteous approach to service with a high level of respect for the diversity of the people served.
- Exceptional customer service skills and ability to uphold the organization’s core values.
- Proven track record in a results-driven environment and experience with meeting assigned targets.
- High ethics and confidentiality standards with proven experience maintaining sensitive information and exhibiting tact, diplomacy, and good judgment.
- Experience in vocational counselling, managing client caseloads, familiarity with Employment Ontario-funded programming, community outreach, and employer relationship-building considered assets.
- Excellent verbal and written English communication skills.
- Strong detail orientation, time management, and ability to multi-task to meet deadlines and achieve targets and objectives.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Outlook 365 applications, including MS Teams and SharePoint. Must possess aptitude and willingness to learn and work with new online systems and technologies.
- Willingness and flexibility to occasionally work outside regular business hours when required to ensure the team meets all objectives.
- Strong work ethic with a positive and employer-centered approach to work.
- Valid drivers’ licence and use of vehicle required.
